Privacy Policy

This policy explains how NEXION Integrated Systems Inc. (“we”, “us”) collects, uses and protects personal information in connection with Nexora. We aim to handle personal information in line with Canadian privacy law, including the Personal Information Protection and Electronic Documents Act (PIPEDA).

1. Information we collect

• Account information — your name, email address and password (stored only as a secure hash).
• Business data you enter — company details, customers, vendors, transactions, documents and, if you use payroll, employee information.
• Usage and security information — sign-in times, IP addresses and an audit log of changes, used to secure accounts and investigate problems.

2. How we use it

To provide and secure the Service, communicate with you about your account, process billing, provide support, and improve the product. We do not sell personal information.

3. Business data you control

For the business records you store in Nexora — including information about your customers, vendors and employees — your business decides what is collected and why. We process that data on your behalf, only to provide the Service.

4. Where data is stored

The Nexora application and database are hosted with Microsoft Azure in a Canadian data centre. Some service providers we rely on may process limited information outside Canada, as described below.

5. Service providers

We use trusted providers to run the Service, such as cloud hosting, transactional email delivery and, where you turn them on, payment processing, bank connections and receipt scanning. They receive only the information needed for their task and are bound to protect it. A current list is available on request.

6. Security

We use encrypted connections (HTTPS), hashed passwords, optional two-factor authentication, role-based access, separation of each company’s data, audit logging and automated backups. No system is perfectly secure, and we will notify affected users of a breach where required by law.

7. Retention

We keep your information while your account is active and for a reasonable period afterwards so you can recover or export it, unless a longer period is required by law (for example, for financial records). You can ask us to delete your account data.

8. Your rights

You may ask to access or correct your personal information, or withdraw consent where applicable, by writing to us. You can also export your business data from inside the Service at any time.
